What this policy covers
This policy explains what personal information we collect when you use this website, contact us, become a client, or when we contact you about our services, and what we do with it.
The information we collect
Information you give us. When you fill in a form on this website, email us, or speak to us, we collect what you share. That's usually your name, business name, email address, phone number, website address and anything you tell us about your business.
Business contact information. To find businesses we think we can help, we collect work contact details for people in relevant roles. That means your name, job title, work email address, business name, business website and public professional profile. We get this from public sources, such as company websites and LinkedIn, and from business data providers such as Apollo.io.
Information collected automatically. When you visit this website, our hosting provider records basic technical information, such as pages viewed, browser type and approximate location. We use this to keep the site running and to understand how it's used. See our Cookie Policy for more.
Client information. If you become a client, we keep the details we need to deliver the work, invoice you and keep proper business records. Any personal data in your own systems that we access while working for you is covered by our client agreement.
How we use it, and our legal basis
To reply to your enquiry and arrange calls. Legal basis: our legitimate interest in responding to people who contact us, or taking steps at your request before entering a contract.
To deliver our services, manage the relationship and invoice you. Legal basis: performance of a contract.
To contact businesses about our services by email, LinkedIn or phone. Legal basis: our legitimate interest in promoting our services to businesses we think we can help. We keep these messages relevant to your role, and you can opt out at any time.
To keep records for tax, accounting and legal purposes. Legal basis: legal obligation.
To run and improve this website. Legal basis: our legitimate interest in keeping the site secure and working well.
Marketing and opting out
Every marketing email we send includes a simple way to opt out, or you can reply asking us to stop, or email [privacy@yourdomain]. When you opt out, we add your email address to a suppression list so we don't contact you again. If you're a sole trader or in a partnership, we'll only send you marketing emails where the law allows it.
Who we share it with
We don't sell your personal information. We share it only with the service providers we use to run the business, who may only use it on our instructions:
Website hosting and forms: Framer
Customer relationship management: Pipedrive
Email: [email provider]
Business contact data: Apollo.io
Accounting and payments: [accounting software]
Professional advisers, such as our accountant, where needed
We may also share information if we're required to by law.
International transfers
Some of our service providers are based outside the UK, mainly in the United States. Where your information is transferred outside the UK, we make sure it's protected by appropriate safeguards, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Agreement.
How long we keep it
Enquiries that don't become work: up to 24 months from our last contact.
Business contacts we've reached out to: up to 12 months from our last contact, unless you reply or ask us to stop.
Client records: 6 years after our work together ends, to meet tax and legal requirements.
Our suppression list: for as long as we carry out marketing, so we can respect your opt-out.
Your rights
You have the right to:
Ask for a copy of the personal information we hold about you
Ask us to correct information that's wrong
Ask us to delete your information
Ask us to restrict how we use it
Object to how we use it, including an absolute right to object to direct marketing
Ask us to transfer it to you or another organisation
To use any of these rights, email [privacy@yourdomain]. We'll respond within one month. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put things right first.
Keeping it secure
We use reputable providers, strong passwords and two-factor authentication, and we limit access to the people who need it.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
